Job Summary
Reporting to and supporting the Director of Alumnae/i and Volunteer Engagement in the Office of Advancement ("Advancement"), the Assistant Director of Alumnae/i Engagement ("Assistant Director") is responsible for supporting key alumnae/i engagement efforts, data entry, registration processing, and logistics for all related programs and events. Programs and events will, for the foreseeable future, be focused on Simmons's Campaign initiatives, but will include other programs and events that support Simmons'/Advancement's greater strategies. This position is front-facing with direct marketing and communication efforts to our alumnae/i and friends community, interfaces with Advancement partners, and requires exceptional planning and organizational skills with strong attention to detail and a commitment to service.

Essential Job Functions/Responsibilities

Marketing and Communications
  • Execute engagement/marketing and communication plans and create engaging text, image, and video content directed at the alumnae/i and friends community and in accordance to the branding visual identity guidelines.
  • In partnership with University Communications and respective Advancement staff, including the Campaign Communications team, develop and manage drafting, production, and delivery processes of regular alumnae/i communications including enewsletters, emails, website, social media (Facebook, Twitter, LinkedIn, YouTube), and other communications and Advancement media accounts, such as the Simmons Network platform engagement and functionality support, as needed.
  • Maintain all alumnae/i-focused email inboxes and engagement calls (direct or to the 800 line), responding as necessary and fielding questions, concerns, interests, and other relevant feedback.
  • Provide user support on all/pertinent engagement programs and applications across all constituencies, including training sessions, and gather data from the alumnae/i and friends community to inform strategies and benchmark outcomes.
  • Propose innovative ways to retain and attract both students as future alumnae/i and other alumnae/i, as appropriate.


Volunteer Management and Programming
  • Support volunteer recruitment, management, and programming initiatives and serve as liaison between these external constituencies and internal partners, as needed. Schedule alumnae/i and friends events/programs and organize volunteer-based committees and subsequent meetings, meeting materials.
  • Create and bolster affinity programs to drive engagement of alumnae/i and friends in key areas and targeted constituencies, such as professional and industry-based programs or regional, athletic, identity and interest-based affinities, and more.
  • Partnering with the Events Manager and other Advancement staff, create and maintain event records across Advancement databases/platforms, manage RSVPs, and reconcile all registrations and attendees (Slate and RE/NXT database).
  • Ensure positive program participant/attendee experience, including on-site check-in/registration management and assemble deliverables (e.g., packets, badges, registration lists) for events. Observe attendee experience to ensure high level satisfaction and assist with problem solving and resolution.
  • In partnership with Advancement staff, develop and implement consistent and replicable data entry and management procedures to track engagement in programming, including Advancement fundraising, event participation, and volunteer initiatives.
  • Maintain inventory of promotional products/swag and process requests for such items.


Requirements
  • A Bachelor's degree or equivalent work experience.
  • A minimum of two (2) years of professional experience, or equivalent or transferable skills and experience; experience in higher education, alumni relations, or fundraising preferred.
  • Demonstrates knowledge of and skill in event and project/events coordination or higher education.
  • Knowledge of business and management principles involved in strategic planning, resource allocation, production methods, and coordination of people and resources.
  • Strong interpersonal skills, demonstrating the ability to be aware of, coordinate, instruct, negotiate with, persuade, and be in service to others.


Preferred Competencies
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • Knowledge of communication and dissemination techniques and methods, including alternative techniques and methods.
  • Knowledge of and skill with navigating and utilizing spreadsheets, presentations, word processing, databases, the internet, and other key computer and technical applications and related software. Knowledge of and skill with navigating and utilizing customer relations management applications (Raiser's Edge/NXT in particular) a plus.
  • Strong communications skills, demonstrating the ability to effectively communicate and understand information and ideas across multiple stakeholders and constituencies, demonstrating active listening and learning.
  • Strong interpersonal skills, demonstrating the ability to be aware of, coordinate, instruct, negotiate with, persuade, and be in service to others.
  • Strong analytical skills, including the ability to look at data and draw conclusions to inform strategies.
  • Demonstrates a strong ability to work with individuals across different identities, backgrounds, and abilities.
  • Strong ability to work effectively in an outcomes-focused, team environment, with demonstrated ability to take responsibility for assigned tasks and take initiative.
  • Ability to recognize and identify problems of varying complexity and develop, implement, and evaluate creative solutions as appropriate. Ability to manage one's self and others as appropriate.
  • The ideal candidate will be positive, extremely service-oriented, and have a demonstrated ability to build strong working relationships with a variety of different individuals and groups


Work Environment & Physical Demands
  • This is a full-time (40-hours/week) office position with occasional night and weekend and rare travel requirements; eligible for a flexible, hybrid in-office/remote work setting structure.
  • This position requires a moderate degree of mobility and environmental awareness which can include prolonged standing and walking and a moderate degree of carrying and lifting.
